Sub Total Costs

Service Costs in messages are able to be subtotalled based on the Service Codes of the options or, any or all of the three Database Analysis codes. These codes can be used for reporting purposes and analysis purposes, and can be used to summarise/consolidate service costs via the documentation & messaging facility.

One example of using subtotals, is to breakdown the costs as X amount of the price is made up of accommodation services, Y amount is made up of transport services, W amount is made up of Sight Seeing, etc.

Another example would be the ability to generate a cash report for guides per booking, totalling how much cash needs to be given to the Guide/Tour Leader, for all cash services.

The summarise/consolidation section can be defined in the message header or tail using the following substitution codes:

<Summary_Start: summarise by: direction>

<Summary_End>

The summarise by code specifies which code(s) are used to sum by. There are 5 possible values:

Table 15: Sub Total Summary Values

The direction code can be either down or across. The default is across.

The following two message codes can only be used in this new section.

<sumcode>—Displays the list of codes that the data is summed by.

<sumcodedesc>—Displays the description for each code that the data is summed by.

Cost, sell, agent, retail, cost tax, sell tax, commission, tax on commission, commission %, mark-up and mark-up % can be summed in this section using the standard messaging substitution codes.

Example 145: Sub Total Summary Codes

Example 145: Sub Total Summary Codes is summarising by Service Code (SRV).

Note that the results are arranged in a table like format with the use of tab stops, so if the tabs are setup correctly and the direction is down then the result of each code will appear in the same column going down.
